The Troop Committee is comprised of adults and parents who are interested in the success of Troop 96 and Scouting. Parents are encouraged to join and/or attend committee meetings. The Troop Committee conducts the business end of the Troop’s operations. The following are the general duties and responsibilities of the Troop Committee Members including those holding specific committee positions. This is not intended to be a complete list, rather a list of the more commonly performed functions or responsibilities of the committee members. The Troop Committee consists of the following positions: Chartered Organization Representative - Dale Hairgrove Duties: * The Liaison between FUMC-Seagoville and the troop. * Troop voting representative at District/Council level. Committee Chairperson - Dale Hairgrove Duties: * Organize the committee to see that all functions are delegated, coordinated, and completed. * Maintain a close relationship with the chartered organization and the Scoutmaster. * Interprets national and local policies to the troop. * Prepare troop committee meeting agendas. * Call, preside over, and promote attendance at monthly troop committee meetings and any special meetings that may be called. * Make facility arrangements for troop meetings, committee meetings, and Courts of Honor. * Ensure troop representation at monthly roundtables. * Plan the charter presentation. Secretary - Dianne Becker / Kathy Reagan Duties: * Keep minutes of meetings and emails committee meeting notices. * Writes and publishes the Monthly Troop Newsletter for submission to Webmaster. * Writes and submits Newspaper articles for publication. * Conduct the troop resource survey. * Sends thank you notes and letters. * At each meeting, report the minutes of the previous meeting. Treasurer - Judy Bednar Duties: * Handle all troop funds. Pay bills on recommendation of the Scoutmaster and authorization of the troop committee. * Maintain checking and savings accounts. * Keep adequate records in the Troop Record Book. * Lead in the preparation of the annual troop budget. * Report to the troop committee at each meeting. Outdoor/Activities Chairperson - VACANT Duties: * Coordinates and plans with the PLC and Scoutmaster the troop’s activities. * Ensure a monthly outdoor program. * Promote the National Camping Award. * Serve as Transportation Coordinator * Acts as liaison to the troop committee for all events and activities. * Help in securing permission to use camping sites. * Secure Tour Permits, permission slips, and medical forms for all Troop activities. * Report to the troop committee at each meeting. Advancement Chairperson - Scoutmaster Duties: * Maintains all data in Troopmaster; such as personal data and years of service on all registered youth and adults, advancement data on registered youth, Troop merit badge counselor data, leadership position data, plus data on additional interested parties. Gathers data from other troop leaders for entering into Troopmaster as required or appropriate. * Encourage Scouts to advance in rank. * Conducts a Scoutmaster Conference with each Scout at least annually to review advancement information and troop involvement. * Make a prompt report on the correct form to the council service center when a troop board of review is held. * Report to the troop committee at each meeting. Adult Training & Merit Badge Coordinator - VACANT Duties: * Ensure troop leaders and committee members have opportunities for training. * Maintain an inventory of up-to-date training materials, videotapes, and other training resources. * Encourage adult leaders to attend BSA Youth Protection training at district roundtables. * Encourage all adult leaders to attend Fast Start and Boy Scout Leader Training. * Recruit merit badge counselors. * Work with Scoutmaster in scheduling merit badge counselors at troop meetings. * Maintain and update the schedule of which merit badges the troop is currently working on. * Work with the troop librarian to build and maintain a troop library of merit badge pamphlets and other advancement literature. * Report to the troop committee at each meeting. Quartermaster - Scott Remy Duties: * Supervise and help the troop procure camping equipment. * Work with the Troop quartermaster on inventory and proper storage and maintenance of all troop equipment. * Make periodic safety checks on all troop camping gear, and encourage Scouts in the safe use of all outdoor equipment. * Report to the troop committee at each meeting. Religious Programs Coordinator - Donnie Sexton / Scott Remy Duties: * Provide a spiritual tone for troop meetings and activities. * Give guidance to the Troop Chaplain Aid. * Promote regular participation of each member in the activities of the religious organization of his choice. * Visit homes of Scouts in time of sickness or need. * Give spiritual counseling service when needed or requested. * Encourage Boy Scouts to earn their appropriate religious emblems. * Report to the troop committee at each meeting. Medicals / SNFS / Registration / Webelos Transition Coordinator - Lisa Mixon Duties: * Ensure that every family has a job. * Works with the Committee Chairperson to fill vacant leader positions. * Maintain contact with Pack 797 * Coordinate Webelos participation in troop activities (Fall/Spring Camporee's, and Crossover.) * Organize and plan the School Night For Scouting Program. * Maintain the Medicals Binder for the whole Troop ensuring confidentiality of individuals information in line with HIPPA Laws. Eagle Scout Advisor - David Sexton Duties: * Provides Life Scouts with Project workbooks and Life to Eagle packet. * Oversees Eagle Scout Service Project process. * Maintains a list of potential Eagle Scout Service Projects. * Signs for Troop Committee in Eagle Scout Service Project workbooks. * Routinely reviews status of projects with Life Scouts. * Advise Eagle Scout candidates, assist with paperwork preparation. * Coordinate Eagle Board of Review with District Advancement Committee. * Assist Scoutmaster and Eagle Scout’s parents with Eagle Courts of Honor. Order of the Arrow Adult Rep. - VACANT Duties: * With assistance and approval from the Scoutmaster and troop committee, promote membership in the OA. * Coordinate with the Scoutmaster and Troop OA Rep. to promote summer camp and winter camp participation. * Promote OA Lodge and Chapter activitied within the Troop. * Checks with OA Representative on upcoming OA service projects. Service Project Coordinator - Darrell Long (VFW Rep.) / Don Godfrey Duties: * Organize and run troop service project events. * Secures date, location and time with the help of the Scoutmaster, PLC and troop committee. * Make reservations for facilities or equipment. * Prepare and distribute announcement about event, including permission slips. * Collect Medication/Allergy forms, trip deposits and payments, and permission slips. * Prepares packet of paperwork to be taken on activity, including tour permit, list of participants, registration forms/permission slips, and health forms. Provides packet to Scoutmaster or Acting Scoutmaster for the activity. * Recruits adult assistance for the trip and for transportation to and from event. * Provides maps to drivers and families of all Scouts participating. * Prepare and submit Tour Permits to Council as required. Fundraising Chairperson - Beverly Long Duties: * Oversee's Troop's fundraising events. * Receives and responds to requests and opportunities for fund raising events. * With assistance and approval from the Troop Committee, determines which fundraising events the Troop will perform. * Reserves or arranges facilities/space for activity as necessary. High Adventure Program Coordinator - VACANT Duties: * Plan and coordinate all High Adventure Programs with the assistance of the PLC, High Adventure Patrol, and the Scoutmaster. * Prepare and submit Tour Permit for the activity * Arrange transportation, two deep leadership, collect permission slips and monies, and get appropriate medicals for each participant. * Arrange for appropriate training of the crew for the event. * Arrange for all equipment necessary either through the Quartermaster and/or other sources. Court of Honor program Coordinator - Beverly Long / Dianne Becker Duties: * Oversee the planning and coordinating of all Court of Honor Ceremonies with the PLC. * Arrange with 1st UMC for facility use. * Procure awards per Scoutmaster's direction from the Scout Shop. Scout Show Committee - Scott Remy / Sherry Ramsey Duties: * Plan and coordinate Scout Show participation with the PLC. * Acquire all materials necessary for the activity following the " Guide To Safe Scouting" and " Health and Safety Regulations". * Arrange for two deep leadership through entire event. * Arrange for all equipment necessary either through the Quartermaster and/or other sources. Troop Popcorn Kernel - Sherry Ramsey Duties: * Plan and coordinate the Troop participation in the Annual Popcorn sale through the Fundraising Chairman. * Attend all Popcorn Sale meetings conducted by the Council or District for troops. * Maintain all records of scout sales and prizes and submit timely. * Collect all popcorn monies and submit to the Treasurer. * Arrange for all equipment necessary either through the Quartermaster and/or other sources. Webelos Super Saturday Event Coordinator - Angela Martinez Duties: * Plan and coordinate the Activity Badges for the classes to be held. * Recruit Boy Scouts from District wide Troops to teach the classes. * Maintain all records of scout attendance and registration. * Ensure the Badge requirements are accurately recorded and reported for each scout. * Arrange for all equipment and supplies necessary either through the Quartermaster and/or other sources. F/A - CPR/AED & WFAB Trainers - Don Godfrey / Scott Remy Duties: * Plan and coordinate the Troop F/A - CPR/AED Certifications. * Teach at least one class annually to maintain certification. * Plan and coordinate the teaching of Wilderness First Aid Basics. * Arrange for all equipment necessary either through the Quartermaster and/or other sources.
